How to Create and Print Shipping Labels

Complete guide to creating, customizing, and printing shipping labels with PostageEasy.

Creating Shipping Labels Made Easy

PostageEasy makes it simple to create professional shipping labels in just a few clicks. This comprehensive guide covers everything you need to know.

Creating a Single Label

Follow these steps to create your shipping label:

1. Enter Recipient Information

  • Select from your address book or enter manually
  • Include company name (if applicable)
  • Full street address with apartment/suite number
  • City, state, and ZIP code
  • Phone number (optional but recommended)

2. Enter Package Details

  • Weight: Use a scale for accuracy (carriers charge by actual weight)
  • Dimensions: Measure length x width x height in inches
  • Package Type: Choose envelope, box, or custom package

Pro Tip: Round up weight to the nearest ounce to avoid undercharge fees.

3. Select Shipping Service

PostageEasy displays real-time rates from multiple carriers. Consider:

  • USPS Priority Mail: 1-3 day delivery, includes $100 insurance
  • USPS First Class: 2-5 days, economical for packages under 1 lb
  • FedEx Ground: 1-5 days, reliable for heavier packages
  • UPS Ground: 1-5 days, great for business deliveries

4. Add Optional Services

  • Insurance: Protect valuable items (required for items over $100)
  • Signature Confirmation: Proof of delivery
  • Saturday Delivery: Available for Priority Mail
  • Hold for Pickup: Recipient picks up at post office or carrier location

Printing Your Label

Standard Printer (8.5" x 11" paper)

The most common method. Labels print on regular paper and can be:

  • Taped directly to the package using clear packing tape
  • Inserted into adhesive pouches
  • Placed in clear shipping sleeves

Thermal Printer (4" x 6" labels)

Professional option for high-volume shippers. Compatible thermal printers include:

  • Rollo Label Printer
  • DYMO LabelWriter 4XL
  • Zebra ZP450/ZP500
  • Brother QL-1110NWB

Label Best Practices

  • Ensure barcode is clear and not wrinkled
  • Cover label with clear tape to protect from moisture
  • Remove or cover old shipping labels
  • Place label on largest surface of package
  • Keep tracking number for your records

Batch Label Creation

For multiple shipments, use the batch import feature:

  1. Download the CSV template from your dashboard
  2. Fill in recipient addresses and package details
  3. Upload the CSV file
  4. Review and confirm all shipments
  5. Print all labels at once

Reprinting Labels

If you need to reprint a label:

  1. Go to Recent Shipments on your dashboard
  2. Click on the shipment
  3. Select "Reprint Label"
  4. Download and print

Note: You can reprint labels as many times as needed at no additional cost.
